Ongoing administration is what distinguishes a passive property portfolio from an active second job. Our team manages the entire operation – ensuring the client never receives an email about a leaky tap.

- CORE PRINCIPLE

The tedious work is the most expensive.

A portfolio of 4–6 properties typically generates 1,500–2,500 administrative events annually: rent collections, maintenance issues, insurance register, tax filings, lease renewals, tenant move-ins and move-outs. It is work that appears simple on paper but is complex in practice.

Roles and Responsibilities

Each property has a dedicated property administrator responsible for daily operations: rent collection, tenant move-ins and move-outs, communication with tenants, minor maintenance issues, and coordination with tradespeople. Larger dispositions – maintenance plans, lease amendments, insurance claims – are handled by Nordic Estates Asset Management's operations team in consultation with the client's partner.

Bookkeeping is performed monthly by our internal accounting function. Annual financial reporting and tax declarations are carried out by our regular auditor and tax advisor, who reports to both the client and Finanstilsynet (Danish FSA) where relevant.

The client has no direct contact with the administrator, tradesperson, tenant, or auditor unless they actively wish to do so. The entire operational apparatus is consolidated into the monthly report and the partner's monthly update.

Standardised, But Not Automated

Operations are standardised – we use the same lease agreement template, the same maintenance plan format, and the same chart of accounts across all clients. This provides us with data comparability across the portfolio and faster handling of deviations.

However, operations are not automated in the sense that they run without human oversight. Each property is reviewed by a named administrator once a month, and quarterly, our operations team conducts a portfolio review, looking for patterns – for example, properties where maintenance costs are rising disproportionately, or where tenant turnover is higher than the norm.

These patterns are rarely caught by algorithms, but they are caught by one pair of eyes on the same figures month after month. This is the discipline that, over time, prevents small problems from becoming large ones.
